How to migrate from HubSpot to GoHighLevel without losing a single row
The exact 14-day playbook we run on every HubSpot → GHL migration. Field mapping, workflow rebuild, parallel run, cutover checklist.

Day 0 — the discovery call
Twenty minutes on Zoom. You share HubSpot access (view-only is fine). We tick off:
- Contacts, companies, deals, tickets — record counts
- Custom fields per object — count + types
- Active workflows — count + trigger types
- Sequences — will they migrate to GHL campaigns or stay in HubSpot?
- Integrations we need to preserve (Stripe, Calendly, Slack, Zapier)
- Deliverability — SPF/DKIM history, IP warm-up state
By the end of the call you have a fixed price and a delivery date.
Day 1 — the field-mapping document
We produce a PDF that lists every HubSpot custom field, the equivalent GHL custom field or contact attribute, the transformation rule if any (dropdowns → tags, calculation properties → GHL workflow computations), and any fields we’re recommending you drop. You sign off before we touch anything. This is the single most-skipped step in a botched migration.
Day 2–4 — the parallel build
The new GHL sub-account goes up. Contacts import in batches of 5,000 with checksums logged. Pipelines and stages get rebuilt. Custom fields get created with your approved names and types. This runs alongside HubSpot — no cutover yet.
Day 5–10 — workflows + funnels + calendars
Every active HubSpot workflow gets a written spec, then a GHL rebuild, then a QA test with a dummy contact. Sequences translate to GHL campaigns or stay in HubSpot Mail (your call). Calendars migrate to GHL’s booking flow, wired to the same email addresses. Funnels get rebuilt with 1:1 field parity.
Day 11–12 — the audit
Every migrated contact gets a checksum. Every workflow gets an end-to-end test. We produce an audit CSV: which HubSpot records landed where, which fields transformed, which if any got dropped and why.
Day 13 — parallel run
Both systems live. Inbound leads land in both. Automations fire in both. You watch for a full business day.
Day 14 — cutover
You get the keys — GHL credentials, a runbook PDF, Loom walkthroughs of every automation. HubSpot goes read-only for 30 days as a safety net. If we miss the date by even one day, you get 25% back automatically.
